Nesting has no depth limit, so a project, its phases, its tasks, and a stray thought about one of them all live in the same document at different altitudes. Mirrors let a bullet appear live in several places at once, and kanban boards build from the same outline.

Notion asks you to decide the shape first. A database of projects, properties on it, a view filtered to this week, a template that spawns the next entry. That investment pays off when 400 items flow through the same structure, and it is a tax on the first ten minutes. Notion nests pages inside pages without limit as well, and page nesting is not the same thing as zooming: you navigate a tree instead of collapsing the world down to one branch.

Workflowy's limit is documented and it is formatting. Minimal styling, no depth of headings, no rich documents, thin support for media. It is not a knowledge base: there is no graph view, though it does have wikilinks and backlinks, which surprises people who write it off as a to-do app. Ask it to hold a 3,000-word reference page with images and it will accept the text and look wrong doing it.

Notion's limit sits at the other end. It slows down as workspaces and complex databases grow, which is among its most widely reported complaints, search quality degrades on large workspaces, and the mobile app lags. A shared outline is possible; a shared workspace with permissions is not the product.

Both keep your writing in a vendor cloud. Workflowy's outline is a proprietary structure with OPML and plain-text export, so the text comes back and the mirrors, collapse states, and exact nesting do not survive as they were. It is a small export because an outline is small, and it finishes in seconds rather than hours.

Notion's pages are proprietary blocks exporting to HTML, Markdown, CSV, or PDF, and its own help pages warn that a large workspace export can take up to 30 hours. The resulting markdown needs cleanup, because blocks were never files, and database properties do not survive as structure. Offline is partial according to Notion's own guidance, covering pages you recently opened or explicitly marked, and the browser gets none. Workflowy edits offline and reconciles later.
