Apple Notes is a capture tool. It is preinstalled on every Apple device, it needs no account beyond the one you already have, and it is open before you have finished deciding what to write. Handwriting works. The camera scanner works. Audio transcription works. Tags and smart folders keep the pile navigable on the Mac.

Notion is a construction tool. You build the container first: a table of projects, a view filtered to this week, a template that spawns the next meeting note. That work pays off when the shape of your information is stable and repeats. It is wasted effort when you only wanted to write down a phone number before you forget it.

Notion's databases are why it took over. One dataset renders as a table, a board, a calendar, or a gallery. Relations point rows at each other, rollups summarise them, and a template creates the next entry in one click. Notion has wikilinks and backlinks as well, though there is no graph view anywhere in it.

Apple Notes has none of that machinery. Organisation means folders, tags, smart folders, and manual note-to-note links you place by hand. There are no wikilinks and no backlinks, so nothing tells you which notes point at the one you are reading. Apple's flat notebook model also strains as the note count climbs, and search plus a smart folder is the entire answer to structure.

Notion is cloud-native. Its own help pages describe offline as partial: pages you recently opened or explicitly marked, with nothing at all in the browser. Leaving is harder than arriving. Neither app is comfortable here. Notion slows down as workspaces and databases grow, search quality drops on large workspaces, and the mobile app lags behind the desktop. It is an Electron app talking to a server, so a round trip is built into the design.

Apple Notes stays fast because it is native, and its organisation gives up instead. Folders and tags cannot tell you what references what, because nothing references anything. Past a few thousand notes you are searching a pile, and the smart folders you built last year no longer describe the way you think now.

Apple Notes costs nothing. It came with the hardware, and iCloud+ from $0.99 a month only matters once your storage fills. Notion's free tier is genuinely usable for one person, and past it Plus is $10-12 per user per month and Business $20-24, which is where the AI features moved after the standalone add-on was retired in May 2025. For a solo user the honest framing is free against free, and Notion's free plan is the more capable of the two. The bill appears when you add people, and at that point you are paying $120 to $290 per person per year for notes that need a login to open.
